Reports To: Managing Director

Job Summary:
The Administrative Executive will be responsible for providing high-level administrative support to ensure efficient operation of the office. This role will support managers and employees through a variety of tasks related to organization and communication. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple tasks efficiently.

 

Key Responsibilities:
Administrative Support:

  1. Manage and maintain executives' schedules, appointments, and travel arrangements.
  2. Prepare reports, memos, letters, financial statements, and other documents.
  3. Perform general office duties, such as ordering supplies, maintaining records, and managing office equipment.

Communication:

  1. Serve as the point of contact for internal and external clients.
  2. Handle requests and queries appropriately.
  3. Draft and distribute email, correspondence memos, letters, faxes, and forms.

Coordination:

  1. Coordinate office activities and operations to secure efficiency and compliance with company policies.
  2. Assist in the preparation of regularly scheduled reports.
  3. Organize and schedule appointments and meetings.

Project Management:

  1. Assist in the preparation of project proposals, reports, and presentations.
  2. Track project timelines, milestones, and deliverables.
  3. Ensure projects are completed on time and within budget.

Record Keeping:

  1. Maintain electronic and paper records ensuring information is organized and easily accessible.
  2. Handle sensitive information in a confidential manner.
  3. Update and maintain office policies and procedures.

Customer Service:

  1. Provide administrative support to clients and customers.
  2. Handle customer inquiries and complaints professionally and promptly.
  3. Ensure a positive customer experience through effective communication and problem-solving.

 

Qualifications:

  1. Any degree or related field may be a added advantage.
  2. Strong organizational and planning skills.
  3. Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  4. Excellent English written and verbal communication skills.
  5. Ability to multitask and prioritize tasks.
  6. Attention to detail and problem-solving skills.
  7. Strong interpersonal skills and adaptability.

Working Conditions:

  1. Full-time position.
  2. Primarily office-based
  3. May require overtime to meet project deadlines.
