Description

Job Title: Documentation Officer

Introduction: We are seeking a meticulous and detail-oriented Documentation Officer to manage all aspects of document control and records management within our organization. The Documentation Officer will be responsible for establishing document management standards and workflows, ensuring documents are properly reviewed, approved, stored, and distributed, and maintaining accurate records of document changes, revisions, and approvals.

Key Responsibilities:

  1. Document Control:

    • Develop and implement document control procedures and workflows.
    • Ensure all documents are accurate, complete, and comply with organizational standards.
    • Maintain a master document register/database and ensure proper documentation storage, access, and retrieval.
    • Manage document change control process and ensure all changes are properly reviewed and approved.
  2. Records Management:

    • Establish and maintain an efficient filing and retrieval system for documents.
    • Classify, store, and retrieve documents and records in accordance with established protocols.
    • Monitor and enforce compliance with records retention policies and procedures.
    • Coordinate the secure disposal of obsolete records and ensure adherence to data protection guidelines.
  3. Document Review and Approval:

    • Coordinate the review and approval process for all documents, ensuring timely distribution and receipt of feedback.
    • Work closely with stakeholders to resolve documentation issues and discrepancies.
    • Maintain records of document reviews and approvals for audit purposes.
  4. Training and Support:

    • Provide training and support to staff on document management policies and procedures.
    • Assist departments in drafting, editing, and formatting documents as needed.
    • Act as a point of contact for document management queries and issues.
  5. Quality Assurance:

    • Conduct regular audits of document control processes to ensure compliance with internal standards and regulatory requirements.
    • Implement corrective actions and improvements as necessary to enhance document management practices.

Qualifications and Skills:

  • Bachelor’s degree in Business Administration, Information Management, or a related field.
  • Mandatory proven experience as a Documentation Officer, Document Controller, or similar role.
  • Strong understanding of document management systems, practices, and standards.
  • Excellent organizational and time management skills with the ability to prioritize tasks.
  • Attention to detail and accuracy in document control and records management.
  • Proficient in MS Office and document management software (e.g., SharePoint, Documentum) is mandatory.
  • Strong communication and interpersonal skills, with the ability to work effectively in a team environment.
